How to Reduce Scanned PDF Size Without Losing Readability

You scanned a 20-page document and the resulting PDF is 80MB. You need to email it, upload it to a portal, or store thousands of them without filling up your drive. The problem is that scanned PDFs are fundamentally different from digital PDFs — each page is a full-resolution photograph, not searchable text. Compressing them requires different techniques than compressing a regular PDF.

Why scanned PDFs are so large

A digital PDF (created from Word, Google Docs, or any application) stores text as text, vectors as vectors, and only embeds actual images. A 20-page digital PDF might be 200KB. A scanned PDF stores every page as a raster image — a photograph of the page. At 300 DPI on a letter-size page, each page image is about 8.4 megapixels. In color at full quality, that is 5-10MB per page.
Multiply that by 20 pages and you have a 100-200MB PDF that contains nothing but images of text. The file does not know it contains text — it just sees pixels. This is why scanned PDFs are 100-1000x larger than their digital equivalents.

Method 1: Reduce DPI

The single most effective way to shrink a scanned PDF is to reduce the resolution (DPI). Most scanners default to 300 DPI, which is designed for print reproduction. For on-screen reading, 150 DPI is perfectly clear. For most filing and reference purposes, 200 DPI is more than enough.
Reducing from 300 DPI to 150 DPI cuts the pixel count by 75% (half the width times half the height). A 5MB page becomes roughly 1.5MB. Reducing to 100 DPI cuts the pixel count by 89%, but text starts to look soft at this resolution — only use 100 DPI if the document is for quick reference, not careful reading.

300 DPI: Print reproduction, legal archival, OCR processing (best accuracy)
200 DPI: General filing, reference documents, government submissions
150 DPI: On-screen reading, email sharing, most daily use
100 DPI: Quick reference only, preview purposes, when file size is critical

Method 2: Convert color to grayscale

If your scanned document is a text document — contracts, receipts, forms, letters — there is no reason to store it in color. Converting from color to grayscale cuts file size by approximately 60-70%, because you are storing one channel of data instead of three (red, green, blue).
Only keep color when the document contains color content that matters: photographs embedded in the document, color-coded charts or diagrams, highlighted or annotated pages, or official stamps and seals where color is part of the authentication.

Method 3: Recompress embedded images

Scanned PDFs embed their page images using various compression methods. Some scanners use lossless compression (which preserves every pixel but produces larger files), while others use JPEG compression at conservative quality settings. Recompressing these images at a more aggressive JPEG quality — say 60-75% instead of 90-95% — can cut file size by 50% or more with minimal visible impact.
For text documents, JPEG quality as low as 50-60% is acceptable because text is high-contrast (black on white). The compression artifacts appear in smooth gradients and subtle tones, not in the sharp edges of text characters.

Method 4: MRC compression (Mixed Raster Content)

MRC is the most sophisticated approach. It separates each scanned page into layers: a text/line-art layer (compressed at high quality because it is high-contrast and simple) and a background/image layer (compressed aggressively because it is low-detail). The result is dramatically smaller than single-layer compression.
MRC is what professional document management systems use. Adobe Acrobat's "Reduce File Size" and "Optimize PDF" features use a form of MRC. The results can be 10-20x smaller than the original scan with text that remains crisp and readable.

Scanning tips for smaller PDFs from the start

If you have not scanned the document yet, these settings will save you compression work later:
  • Use 200 DPI instead of 300 DPI for any document that will not be reprinted at high quality
  • Scan in grayscale unless color content is essential
  • Use the document feeder rather than the flatbed — feeder scans are more consistent and some scanners apply better compression to feeder scans
  • Set the scanner to PDF directly rather than scanning to images and converting — scanners that output PDF natively often compress better than post-processing tools
  • Clean the scanner glass — dust and smudges create noise that increases file size
