XLS to PDF: the print layout becomes the document

The PDF is built from the workbook’s print settings, not from what fills the screen: print area, page breaks, scaling, repeated header rows. A sheet nobody has ever printed usually has none of those set sensibly, which is why a tidy spreadsheet becomes a PDF with columns stranded on their own pages.

What is XLS?

XLS is the Microsoft Excel format, typically used for spreadsheets with formulas. Converting it to PDF produces a file that opens on systems without XLS support.

How do I open XLS files?

On Windows: Excel, LibreOffice Calc, or Google Sheets. On a Mac: Numbers, Excel, or LibreOffice. The pre-2007 binary format. Modern Excel opens it but may warn about the format, and some cloud tools refuse it outright.

Why does my spreadsheet split across several PDF pages?

A spreadsheet has no page size, a PDF does. Columns that run wider than the page break onto separate pages, which is the single most common complaint about this conversion. Set the print area and scaling in Excel first (Page Layout → Fit All Columns on One Page, or landscape orientation) and the PDF follows that layout.

Do formulas still work in the PDF?

No. The PDF captures the calculated values as they stood when you converted, the formulas behind them are not carried over. That is usually the point: you are sending a figure someone cannot accidentally change. Send the XLSX instead if the recipient needs to recalculate.

Are all worksheets included or just the active one?

Behaviour varies by tool and by how the workbook was saved. If a specific sheet matters, check the output before sending, and consider deleting or hiding sheets you do not want shared, hidden rows, extra tabs, and off-screen notes have a habit of surfacing in the PDF.
