Best Time for Meetings Across US, UK, and India Time Zones

If you work with teams across the US, UK, and India, you already know the scheduling pain. These three regions span 13.5 hours of time difference, and finding a slot that works for everyone feels impossible. That is because, honestly, there is no perfect overlap. But there are practical solutions that minimize the suffering.

The time zones involved

Let us lay out what we are working with:
  • US Eastern (EST/EDT): UTC-5 in winter, UTC-4 in summer
  • US Pacific (PST/PDT): UTC-8 in winter, UTC-7 in summer
  • UK (GMT/BST): UTC+0 in winter, UTC+1 in summer (clocks change last Sunday in March and October)
  • India (IST): UTC+5:30 year-round (India does not observe daylight saving time)
The US-India gap is the killer. When it is 9:00 AM in New York, it is 6:30 PM in India — already end of day. When it is 9:00 AM in India, it is 11:30 PM the previous night in New York. There is no time that is "normal business hours" for both.

Winter overlap (November through March)

During winter months (US on EST, UK on GMT), the time relationships are:
  • 2:30 PM IST = 9:00 AM GMT = 4:00 AM EST
  • 5:30 PM IST = 12:00 PM GMT = 7:00 AM EST
  • 7:00 PM IST = 1:30 PM GMT = 8:30 AM EST
  • 8:30 PM IST = 3:00 PM GMT = 10:00 AM EST
The only realistic window where all three regions are somewhat awake is 5:30 PM - 8:30 PM IST / 12:00 PM - 3:00 PM GMT / 7:00 AM - 10:00 AM EST. India is working late, UK is in the middle of the day, and the US East Coast is starting early. This is the best it gets in winter.
If US Pacific is involved, the window shrinks further. 7:00 AM EST is 4:00 AM PST, which is unreasonable. You either exclude Pacific time or push the meeting to 8:30 PM IST / 3:00 PM GMT / 10:00 AM EST / 7:00 AM PST.

Summer overlap (April through October)

Summer daylight saving shifts improve things slightly for the US-UK relationship but do not help the India gap (since India does not change clocks):
  • 5:30 PM IST = 1:00 PM BST = 8:00 AM EDT
  • 7:00 PM IST = 2:30 PM BST = 9:30 AM EDT
  • 8:30 PM IST = 4:00 PM BST = 11:00 AM EDT
The best summer window is 5:30 PM - 8:30 PM IST / 1:00 PM - 4:00 PM BST / 8:00 AM - 11:00 AM EDT. This is marginally better because the US start time moves from 7:00 AM to 8:00 AM.

The recommended meeting slot

6:30 PM IST / 1:00 PM GMT (or 2:00 PM BST) / 8:00 AM EST (or 9:00 AM EDT). India is working a bit late, UK is mid-afternoon, US East is starting fresh. This is the least-bad option year-round. Adjust by 30 minutes seasonally.

Practical strategies that actually work

Rotate the inconvenience. Do not make the same region take the bad time slot every meeting. Rotate between three times: one that is early for the US (7 AM EST), one that is late for India (8 PM IST), and one that is early morning for the UK (7 AM GMT / 12:30 PM IST / 2 AM EST — only works for US-optional meetings). Everyone shares the pain.
Use async for updates, sync for decisions. Most information that gets shared in meetings does not require real-time discussion. Record a 5-minute Loom video, post it in Slack, and let each region respond during their business hours. Reserve synchronous meetings for actual discussions where back-and-forth is needed: design reviews, sprint planning, incident response.
Stack your cross-timezone meetings. Instead of scattering three-way meetings throughout the week, consolidate them into one or two slots. If India is going to work late on Tuesday, stack all the cross-timezone meetings that day so the other four days are uninterrupted.
Respect holidays and cultural differences. India observes different holidays than the US and UK. Friday afternoons are often quiet in the UK. The US has long weekends throughout the year. Keep a shared calendar that shows all three regions' holidays.
